Disclaimer, Privacy, & Emergency Information

Effective Date: June 24, 2026

Trellis Therapy of Loudoun, PLLC ("Trellis Therapy," "we," "our," or "us") respects your privacy and is committed to protecting the personal information you provide through our website, www.trellisloudoun.com (the "Site").

This page contains important legal disclaimers, digital boundaries, crisis resources, and our comprehensive Website Privacy Notice. This notice explains how we collect, use, disclose, and process personal information in connection with our Site, which is hosted on the Squarespace platform, and any related digital communications or features we offer (collectively, the "Services").

Part I: Disclaimers & Practice Boundaries

1. Informational Purposes Only

The content provided on this website, including all text, graphics, images, and other material, is for informational and educational purposes only. This content is not intended to be an exhaustive explanation of any psychological topic, therapeutic practice, or clinical process.

2. No Professional Advice or Clinical Relationship

Nothing contained on this website constitutes professional psychological, psychiatric, medical, clinical social work, or legal advice. Accessing, reading, or interacting with the content on this website does not create or constitute a therapist-client professional relationship between you and Trellis Therapy of Loudoun or any of its clinicians.

You should always seek the explicit advice of a licensed mental health professional or qualified healthcare provider regarding any mental health condition, treatment plan, or personal decision. Never disregard professional medical or psychological advice or delay seeking it because of something you have read on this website.

3. Practice Boundaries & Jurisdiction

Therapeutic services are only available to individuals who are physically located within the states where our clinicians are actively licensed to practice. Utilizing telehealth or inquiring about services through this website from outside these jurisdictions does not obligate the practice to provide care, as cross-state treatment is strictly regulated by state licensing boards.

4. Confidentiality & Web Communications

While we take your privacy seriously, standard email and contact forms filled out through this website are not fully encrypted or HIPAA-compliant. Please limit the information sent through our contact form to basic scheduling inquiries and contact details. Do not send sensitive clinical information, detailed trauma histories, or urgent personal updates through this website.

5. No Guarantees of Clinical Outcomes

The descriptions of therapeutic modalities (such as DBT, EMDR, and ACT) and any potential clinical outcomes discussed on this website are educational reflections of evidence-based practices. They are not a guarantee of specific therapeutic success or results. Every individual's healing journey is unique, and progress depends entirely on individual clinical factors and active participation in treatment.

6. Limitation of Liability

The author and the distributor of this content assume no liability whatsoever for any direct, indirect, or consequential damages or injuries arising in connection with your use or reliance on the information provided on this website.

7. Third-Party Links

This website may contain links to external, third-party websites or resources. These links are provided solely for your convenience. Trellis Therapy of Loudoun is not responsible for the content, privacy policies, or accuracy of any third-party websites.

8. The No Surprises Act & Your Right to a Good Faith Estimate

Under Section 2799B-6 of the Public Health Service Act and the federal No Surprises Act, healthcare providers are required to provide a "Good Faith Estimate" of expected charges to individuals who do not have insurance or who are not using insurance (self-pay) to pay for their care.

  • Right to an Estimate: You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency healthcare services, including psychotherapy, intake assessments, and scheduled treatments.

  • Timing: Your provider must supply this written estimate at least 1 business day before your scheduled medical service or item if scheduled 3–9 days out, or within 3 business days if scheduled 10 or more days out. You can also request a Good Faith Estimate before you schedule an appointment.

  • Protection Against Unexpected Bills: If you receive a bill that is at least $400 more than your written Good Faith Estimate, federal law allows you to dispute the bill through the federal dispute resolution process.

  • Record Keeping: It is recommended that you save a copy or take a picture of your written Good Faith Estimate for your records.

For questions or more information about your right to a Good Faith Estimate or the dispute resolution process, you can visit the official Centers for Medicare & Medicaid Services website at www.cms.gov/nosurprises or call the No Surprises Help Desk at 1-800-985-3059.

9. Social Media & Digital Boundaries Policy

In order to maintain strict clinical boundaries, protect client confidentiality, and adhere to the National Association of Social Workers (NASW) Code of Ethics, our clinicians do not accept "friend" or connection requests from current or former clients on any personal social media platforms (such as Facebook, LinkedIn, or Instagram).

Interacting via social media can compromise your privacy and blur the therapeutic boundary essential for effective treatment. If you cross paths with your clinician on a professional business page or public digital forum, please note that they will not acknowledge or interact with you online to maintain your strict clinical confidentiality.

Part II: Website Privacy Policy

Important Legal and Clinical Distinctions

Healthcare Privacy vs. Website Privacy: This Privacy Policy addresses the data collected from visitors to our public-facing website and individuals who submit initial online inquiries. It does not govern the protected health information (PHI) we collect, create, or maintain during an established clinical, provider-patient therapeutic relationship.

Our handling of clinical records and PHI is strictly governed by the Health Insurance Portability and Accountability Act (HIPAA) and applicable state laws. For information regarding your clinical privacy rights and how your health information is managed, please review our separate Notice of Privacy Practices (NPP), which is provided directly to clients upon intake.

1. What is Personal Information?

When we use the term "personal information" in this notice, we mean any data or information that identifies, relates to, describes, is capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular natural person or household, or any other data that constitutes "personal data" under applicable law, including the Virginia Consumer Data Protection Act (VCDPA).

2. Our Collection and Use of Personal Information

As a solo private psychotherapy practice, we minimize data collection to protect your privacy. We collect personal information in a few distinct ways: when you intentionally provide it to us, automatically through our website infrastructure, and occasionally from necessary business partners.

A. Personal Information You Voluntarily Provide to Us

  • Inquiry and Consultation Communications: We collect your first and last name, email address, and any specific details you choose to share when you fill out our initial online intake or contact forms on trellisloudoun.com. To maintain strict professional boundaries and protect your privacy, initial client consultations and outreach are handled exclusively via email. We use this information to respond to your therapeutic inquiries, determine clinical appropriateness, and manage our practice operations.

  • Newsletter and Marketing Emails: If you choose to subscribe to our mailing lists or practice updates, we collect your email address. You can opt out at any time by clicking the "unsubscribe" link at the bottom of the email.

  • Feedback and General Correspondence: This includes information you provide if you contact us via email regarding general business inquiries.

B. Personal Information Collected From Third Parties & Integrations

  • Squarespace Platform: Because our Site is built on Squarespace, certain infrastructure data, analytics, and hosting information are collected and processed via Squarespace to ensure the Site functions securely and correctly. This may include IP addresses, browser types, device information, website usage data, cookies, and analytics information.

  • Secure Clinical Scheduling & Portals: If our Site links or integrates with a third-party Electronic Health Record (EHR) system or client scheduling portal, we collect minimal operational identifiers (such as confirmation timestamps) to log and manage appointments.

  • Google Forms and Third-Party Services: Our website may utilize Google Forms or other third-party technologies to facilitate appointment inquiries and communications. Information submitted through these services may be processed by third-party providers according to their own privacy policies and terms of service. While we take reasonable precautions to safeguard information, we cannot guarantee the security of information transmitted through third-party systems or the internet.

C. Core Business Uses of Personal Information

We use the personal information we collect to:

  • Fulfill or meet the reason the information was provided, such as responding to your initial inquiry regarding therapy services;

  • Verify your identity and preliminary eligibility for clinical services within our licensed jurisdictions;

  • Communicate with you directly via email;

  • Administer, maintain, and secure our Site;

  • Enforce our terms, resolve operational disputes, and protect our business interests; and

  • Comply with legal, ethical, and licensing obligations mandated by professional boards or state law.

3. How Cookies and Tracking Technologies are Used

We, along with our hosting provider (Squarespace), automatically collect certain device and usage information when you visit our Site. This is primarily done through cookies and related tracking tools to ensure a smooth user experience.

  • Device Data: Your IP address, browser type, operating system, device type, and unique device identifiers.

  • Usage Data: The pages you visit on trellisloudoun.com, the links you click, the website you arrived from, and the date/time of your visit.

  • Analytics: We utilize standard, privacy-conscious analytics tools (such as Squarespace Analytics or Google Analytics) to understand website traffic patterns, aggregate user demographics, and improve our online presence.

Managing Your Cookie Preferences:

Most web browsers allow you to block, limit, or delete cookies through their settings. However, disabling cookies entirely may limit your ability to navigate or fully utilize certain features of our Site. Our Services do not currently alter their behavior in response to Do Not Track (“DNT”) browser signals, but we process data in compliance with Virginia law regarding opt-out preferences.

4. Our Disclosure of Personal Information

We do not sell, rent, or lease your personal information to third parties. We only disclose personal information to trusted entities under the following limited circumstances:

  • Service Providers: We share necessary data with third-party vendors who perform essential business or infrastructure services on our behalf, such as website hosting (Squarespace), IT support, and administrative management tools. These providers are bound by strict confidentiality requirements.

  • Legal and Ethical Mandates: We may disclose personal information to legal advisors, regulatory bodies, or law enforcement to comply with state and federal laws (including mandatory reporting laws), respond to a valid legal subpoena, or protect the health, safety, and rights of our practice, our clients, or the public.

  • Business Transfers: If Trellis Therapy of Loudoun, PLLC undergoes a business transition, such as a merger, acquisition, or asset sale, your non-clinical website inquiry data may be transferred as part of the business assets, subject to standard confidentiality protections.

  • With Your Express Consent: We may share specific information if you explicitly authorize or direct us to do so.

5. Control Over Your Information

You have full agency over the personal marketing and communication information you share with us:

  • Email Communications: You can stop receiving promotional or practice update emails at any time by clicking the "unsubscribe" link. Please note that you cannot opt out of operational, administrative, or legal emails regarding an ongoing therapeutic relationship.

  • Modifying or Deleting Data: If you have questions about reviewing, modifying, or deleting the personal information submitted through our website forms, please contact us directly via email. Please note that we cannot alter or delete data that we are legally or ethically required to maintain under Virginia healthcare record retention laws.

6. Important Notice Regarding Health Information

Please do not submit detailed medical, psychiatric, diagnostic, treatment, medication, or other sensitive health information through website forms unless specifically instructed to do so. Information submitted through website forms may not be subject to the same protections as information exchanged through established clinical systems. Submission of information through this website does not establish a therapist-client relationship.

7. Data Security & Retention

We implement reasonable administrative, technical, and physical safeguards designed to protect information collected through this website. However, no internet transmission or electronic storage system can be guaranteed to be completely secure.

We retain personal information gathered through our website for no longer than is reasonably necessary to fulfill the operational purposes outlined in this notice, satisfy legitimate business needs, or comply with applicable legal, tax, or regulatory requirements.

8. Regional Jurisdiction (Virginia Compliance)

Trellis Therapy of Loudoun, PLLC operates in accordance with the laws of the Commonwealth of Virginia. If you are a resident of Virginia, you possess specific data privacy rights under the Virginia Consumer Data Protection Act (VCDPA) regarding your consumer personal data, including the right to access, correct, delete, or obtain a portable copy of that data.

Because we operate primarily as a small, specialized healthcare provider, our processing of clinical, healthcare-regulated data is heavily exempt from the VCDPA consumer rules, falling instead under standard HIPAA and state medical privacy frameworks. However, we honor all verified consumer data requests regarding our public website infrastructure to the fullest extent required by law.

9. Children’s Privacy

This website is not directed to children under thirteen (13). We do not knowingly collect personal information from children under 13 without appropriate parental consent.

10. Updates to this Privacy Notice

We reserve the right to modify or update this Privacy Notice at any time to reflect updates to our practice, changes to our Site infrastructure on Squarespace, or shifts in healthcare and digital privacy regulations. The "Last Updated" date at the top of this page will always reflect the most recent version.
